The higher education sector is undergoing rapid digital transformation driven by continuous advancements in computer engineering and information systems. Modern technologies have become increasingly important in improving academic and administrative processes and enhancing data management efficiency. Among these applications are electronic attendance systems based on Quick Response (QR) Code technology, which provide a practical solution for managing student attendance, reducing reliance on traditional paper-based records, and improving the accuracy of information documentation. How Electronic Attendance Systems Work Smart attendance systems integrate web applications, databases, and digital communication technologies. The process begins when an instructor creates an electronic attendance session associated with a specific course, academic year, department, and date. The system then generates a unique QR code for the session, which is displayed in the classroom for students to scan using their smartphones. Once the code is scanned, a request is sent to the server, which verifies the validity of the session and the student’s information according to the implemented verification mechanism. The system subsequently records attendance in a database, including the registration time, while preventing duplicate attendance records for the same lecture. This process enables instructors to monitor attendance records in real time and generate electronic reports containing the number of present and absent students, along with attendance percentages for each course. Preventing Proxy Attendance Ensuring the reliability of attendance records is one of the major technical challenges facing electronic attendance systems. A static QR code alone cannot confirm a student’s physical presence in the classroom, as the code may be photographed or shared with individuals outside the lecture. To address this challenge, a multi-layered security system can be implemented using temporary and dynamically changing QR codes, student identity verification, session validity checks, duplicate registration prevention, and the documentation of invalid attendance attempts. Geolocation verification using the Global Positioning System (GPS) or other verification mechanisms may also be incorporated when necessary. However, location accuracy can be affected by indoor environments and building structures. Therefore, geolocation alone should not be considered sufficient evidence of a student’s physical attendance. The principles of identity verification and protection against the reuse of authentication credentials are consistent with the security guidelines issued by the National Institute of Standards and Technology (NIST). Academic and Administrative Benefits The transition to electronic attendance systems offers several advantages, including reducing the time required for attendance registration, minimizing errors associated with manual data entry, and facilitating data storage and retrieval. Centralized databases also enable the generation of detailed reports on student attendance and the automatic calculation of attendance and absence percentages. These capabilities support instructors, academic departments, and university administrators in monitoring student attendance and managing academic records. A study published at an IEEE conference in 2021 examined the development of a university attendance system based on QR Code technology, incorporating lecture time verification, registered device identification, and geolocation checks. The study highlighted the potential of these mechanisms to address certain limitations associated with traditional attendance recording methods. Challenges and Future Development Despite their advantages, the successful implementation of electronic attendance systems requires reliable network connectivity, student data protection, appropriate access control mechanisms, and alternative procedures when smartphones are unavailable or network connections are interrupted. Future developments may include interactive monitoring dashboards and statistical analytics to examine attendance patterns, identify declining attendance rates at an early stage, and support academic decision-making. This field represents a practical example of integrating software engineering, database management, and cybersecurity, highlighting the important role of computer engineering in the digital transformation of educational institutions. Conclusion The transition from paper-based attendance records to smart attendance systems represents an important step toward modernizing university administration and improving the efficiency of academic procedures. The significance of QR Code technology extends beyond accelerating attendance registration, offering opportunities to develop integrated systems that combine data management, electronic verification, and automated reporting. Developing these systems according to appropriate technical and security standards, while ensuring user privacy, remains essential for achieving reliable and sustainable digital transformation in higher education institutions.
